    Does the appraisal include a documented discussion regarding the staff member's wellbeing, work-life balance, and any required support?

    What we look for: Check the appraisal form for wellbeing prompts. Good looks like documented discussions about stress, workload, and reasonable adjustments. Fail if wellbeing is entirely omitted from the annual review process.

  2. Regulation 17 — Good governanceOnboarding New Staff

    Does the provider actively seek feedback from new starters about their onboarding experience and monitor their wellbeing during the transition into their new role?

    What we look for: Look for evidence that the agency cares about the new starter's experience, checking on their stress levels and travel routing. Good looks like adjusting rotas if a new starter feels overwhelmed; a fail is ignoring staff wellbeing leading to high early turnover.

    Evidence: New starter surveys, induction feedback forms, wellbeing check-in notes, staff meeting minutes

  3. Regulation 18 — StaffingProbation Audit

    Is there documented evidence of assessing and supporting the new staff member's wellbeing and integration into the team?

    What we look for: Review probation meetings to ensure the manager asks about the staff member's wellbeing, workload stress, and travel times. Good looks like adjustments made if a new starter is overwhelmed. A fail is zero evidence of pastoral support.

    Evidence: 1:1 supervision notes, probation review forms, wellbeing check-in records

  4. Regulation 18 — StaffingSponsor Worker Compliance

    Are comprehensive pastoral support and welfare mechanisms in place to assist international recruits in settling into the UK?

    What we look for: Look for evidence of practical support such as help with bank accounts, GP registration, and finding accommodation. Good practice includes a dedicated pastoral lead or buddy system. A fail is international staff arriving with no structured support, leaving them vulnerable or isolated.

    Evidence: Welcome packs, Pastoral support policy, Accommodation support records, Staff meeting minutes, 1:1 supervision notes

  5. Regulation 18 — StaffingSupervision Audit

    Does the supervision record show a meaningful discussion about the staff member's wellbeing, mental health, and workload?

    What we look for: Review supervision notes to ensure they go beyond tick-boxes and genuinely explore the care worker's pastoral needs and stress levels. Good looks like active listening and adjustments made for staff struggling with caseloads. A fail is generic, copy-pasted responses with no evidence of wellbeing support.

    Evidence: Completed supervision records, staff meeting minutes, wellbeing action plans
