Stop chasing staff for documents
Employee Hub is the staff side of MyCareCompliance. Care workers securely upload their own compliance documents from their phone and confirm that policies and information have been read and understood. You stay in control of the workforce record: they upload, you review, compliance stays visible.
Request a document and let staff do the rest
Ask for what you need, set a due date, and the request appears on the carer's phone with a reminder behind it.
- Request driving licence, insurance, MOT, right to work, DBS, training certificates or anything else
- Staff upload from the camera, photo library or their files
- Reminders sent 30, 14 and 7 days before a document expires
- Managers alerted the moment something expires
Nothing becomes compliant until you say so
Every submission moves through a clear status trail rather than quietly updating the staff file.
- Missing, requested, uploaded, awaiting review, verified, expiring, expired
- Who uploaded it, when, who reviewed it and the verification date
- Rejection reasons recorded and sent back to the carer
- Previous versions kept — a replacement never erases the original
Read and understood, tied to the document version
Publish a policy, choose who must read it, and see exactly who has confirmed it.
- Acknowledgements recorded against the specific version
- A new version creates a new requirement for everyone
- A live view of who has signed and who is outstanding
- Signatures and acknowledgements cannot be edited or deleted
It feeds your existing workforce compliance
Employee Hub is an extension of workforce compliance, not a separate system. Approved documents update the staff file, and each staff file shows a dated timeline of uploads, reviews, signatures and reminders — ready to export as a staff file summary when an inspector asks to sample files.
Built for privacy
A carer sees only their own record. Files are stored privately with no public links, each account is tied to one employer, and the audit trail is permanent.
Frequently asked questions
- Can staff change their own compliance record?
- No. Staff can upload documents and confirm they have read a policy. Nothing counts towards compliance until an authorised manager reviews and approves it, and no one can approve their own evidence.
- Can one carer see another carer's documents?
- No. Each account is linked to that person's existing staff record, and every document, upload and signature is scoped to that one record and their own employer.
- Does this create a second staff database?
- No. The Employee Hub sits on top of your existing workforce compliance records. The staff file remains the single source of truth; approved uploads update it directly.
- What can staff be asked for?
- Driving licence, vehicle insurance, MOT, right to work, DBS certificate, training certificates, professional registration and anything else you need. You set a due date and they are reminded automatically.
